1. Overview of Data We Store
When you interact with The CliniQ AI — whether as a registered clinic administrator or as a patient receiving appointments, tokens, and prescription notifications via WhatsApp — certain personal data is processed to deliver those healthcare communications.
You have the absolute right to request the deletion of your personal data and opt out of automated WhatsApp communications at any time.
2. Step-by-Step Data Deletion Instructions
Users, patients, and clinic administrators can request data deletion through any of the following methods:
Send an email to our dedicated data privacy desk at privacy@thecliniqai.com with the subject line: "Data Deletion Request".
Please include: (1) Full registered name, (2) Registered mobile phone number (used for WhatsApp), and (3) The clinic you consulted with (if applicable).
If you are a patient receiving automated notifications via our WhatsApp Business bot, simply reply with "STOP" or "UNSUBSCRIBE" in the chat. Our system will immediately flag your number as opted-out and cease automated appointment or prescription messaging.
Clinic owners wishing to permanently delete their clinic tenant, staff accounts, and operational records can navigate to Settings > Account > Delete Practice Data in their CliniQ web portal or email support@thecliniqai.com.
3. What Happens After Your Request
- Acknowledgment: Within 48 hours of receiving your request, our Data Protection Team will issue an official Confirmation & Tracking Code to your email address.
- Verification: We verify the request to ensure the requester is the authorized owner of the phone number or clinic account.
- Purging of Data: Within 30 days of verification:
- Your mobile phone number and demographic profile are removed from all automated messaging queues.
- Inbound AI receptionist phone call logs and audio transcripts associated with your identifier are permanently erased.
- Active authentication tokens and sessions are revoked.
- Confirmation Notice: An official Deletion Completion Notice will be delivered to your registered email address.
4. Statutory Medical Record Retention Exceptions
Under the regulations of the National Medical Commission (NMC) and Indian healthcare laws, treating medical practitioners are legally obligated to preserve clinical diagnosis, treatment charts, and prescription records for a statutory retention period (generally 3 years). While contact data and messaging permissions will be purged from our communication systems upon request, medical records legally owned by your consulting physician will be archived in accordance with Indian healthcare regulations.
